Pre-Access SpecialistMonday – Friday 9am to 5pmESSENTIAL JOB* FUNCTIONS: *

Retrieves reservation/notification of scheduled appointments and/or procedure from scheduling system
Contacts patients with pending appointments and attempts to pre-register for encounter
Ensures patient has appropriate authorization (if out of network/covered services) for pending services
Provides patient accurate estimate of payment due at or before services are rendered
Adheres to all quality and productivity standards defined by the department
Collects prepayment for pending services (when applicable) and co-pays as defined by patient insurances
Follows appropriate policies and procedures in production at each area
Matches and retrieves appropriate patient from systems
Establishes priorities, meets deadlines, and follows written and verbal instructions
Follows downtime manual processes with little or no supervision
Ability to communicate effectively and in cooperation with management/departments, outside agencies, other hospitals and professional organizations
Interacts with local, state, and federal officers and inmates to identify appropriate payer sources
Informs patient and/or family of the patient obligation policy
Determines if reason for visit is work related (workers’ compensation claim)
Maintains accountability for accuracy of data collected and entered into systems and demonstrates the ability to maintain a passing grade on monthly audits
Assists patients with identifying potential payer sources
Maintains confidentiality of patient health information in compliance with HIPAA regulations
Meets all productivity and quality requirements of the position

SKILLS AND* KNOWLEDGE REQUIRED: *

Communicates clearly and concisely, verbally and in writing
Establishes and maintains long-term customer relationships, building trust and respect by consistently meeting and exceeding expectations
Works effectively with other employees, patients and external customers
Demonstrates proficiency in applications as required
Demonstrates knowledge and understanding of organizational policies, procedures and systems
Able to perform basic mathematical calculations, balance and reconcile figures, punctuate properly, spell correctly and transcribe accurately

SKILLS, ABILITIES AND* KNOWLEDGE TYPICALLY ACQUIRED THROUGH: *

High school diploma or GED required with post-secondary education courses or certification in business, computers, and office management. Associate’s degree preferred
Minimum of three years of experience in business, office management, Patient Access (Registration or Financial Counseling)

CONTACTS-INTERNAL/EXTERNAL:

Daily contact with a broad spectrum of people throughout the organization including, management, clinical staff, front line associates and outside agencies/ institutions. Contacts with other finance representatives to exchange/provide information
Continuous contact with Directors, Managers and staff of various departments throughout XXXX Health
Continuous contact with all levels of personnel within Patient Access Services
Regular contact with all levels of personnel throughout the organization

RESPONSIBILITY:

Maintains patient and family confidentiality
Maintains protected health information in accordance with HIPAA privacy guidelines and regulations
Communicates effectively and maintains a positive working relationship with patients, management and other employees to promote teamwork, cooperation and positive public image of XXXX Health
Meets or exceeds goals and benchmarks established by leadership
Maintains knowledge of applicable rules, regulations, policies, procedures, laws, and guidelines that impact the billing and collection process of XXXX Health

WORKING ENVIRONMENT:

Patient care areas, clinics, nursing offices
May be required to attend meetings from clinic or hospital campus
Typical office environment setting, classroom and clinic areas
Inter-departmental and inter-campus visits/meetings
